Configuring GPTs SOP

There are two ways to create GPTs. First is a step-by-step guide to manually creating custom GPTs in ChatGPT for Organic and SEO clients. The second way is faster and more efficient using a template to plug in.

Manually Creating GPTs:

1. Open ChatGPT. Click ‘Explore GPTs’ at the top of the left-hand menu. 

2. Click the green ‘Create’ button in the right-hand corner. 

3. In ‘Create’ type in the following prompt, “Make a marketing manager who specializes in Search Engine Optimization, blog writing, social media marketing, keyword research, and website copy.” It will generate a name suggestion, and ask it to name the GPT in this format: Parent Company | Child Company | Package 

While the ChatGPT is generating, find the community's kick-off survey in the drive and pull up their website. 

4. Click on ‘Configure’ and set the GPT’s profile picture to the community logo found in the drive.

5. Input the tone you want the ChatGPT to convey when creating copy. The Preferred Brand Tone can be found under the ‘Brand Voice’ tab of the Kick-Off Survey. If this portion is not filled out, pull adjectives from the home page of the community’s website. 

Prompt: “My approach/style/tone/voice is BLANK, BLANK, and BLANK.”

Note: If you get feedback from a client that the tone is missing the mark, you can adjust it at any time by going into the ChatGPT and stating, “Change my writing style to be more BLANK, BLANK, and BLANK.”

6. Input the demographic information found under the ‘Demographics’ tab in the Kick-Off Survey. Use the prompt: “Please cater all blogs and social media copy to AGE RANGE, RESIDENT DESCRIPTION, RESIDENT INTERESTS, ETC.”
7. In the Community Tab of the Kick-Off Survey, copy the Community Official Address, Community Time Zone, Community Actual Local Phone, Community Website, Community Primary Email, Community Hours, and Yelp URL. Paste this information into the ChatGPT using the prompt: “Add this information as my contact information and store it in the knowledge base for future use.”

Note: If contact information needs to be updated, ask the ChatGPT to “Update my phone number to (XXX) XXX-XXXX.

8. Find the Hashtags and Keywords on the Brand Voice tab of the Kick-Off Survey. Use the prompt, “Store these hashtags in the knowledge base to use when creating social posts and blogs:” 

9. From the community website, copy and paste all home page copy, amenities, and neighborhood information into the GPT and ask it to store it in its database
    1. When uploading neighborhood information, include: Ensure all restaurants, businesses, shops, services, etc. mentioned in the copy are within a 5-10 minute drive from COMMUNITY.
10. Copy and paste the floor plans URL and ask ChatGPT: Pull floor plan information from this link and store it in my database: LINK 

11. To ensure the GPT pulled and stored all the information properly, test it by asking: 
    1. Give me 3 social media captions about my in-unit amenities.
    2. Write a blog article about my on-site amenities. 
    3. Create a Facebook post highlighting my pet-friendly amenities.

If you receive a response that is not congruent with the information on the website, manually input all the information from the community website and Kick-Off Survey in the ChatGPT and ask it to store the information in its knowledge base. 

Information that needs to be stored includes:

  • Hours, Contact Information, Address
  • Amenities
  • Wow Factors
  • Community Description 
  • Neighborhood

The more information the better!

12. Once you have created the GPT, in the top right-hand corner, hit ‘Save’ and check publish to ‘Anyone with at GTMA.’

13. Then, click on the GPT in the lefthand menu, pulling up the screen below. Copy the URL and paste it under Project Details > Description > ChatGPT in Hubspot Projects.

14. Any time you make an update to the GPT, be sure to hit ‘Update’ in the right-hand corner. 

Once all information has been correctly added to a community’s GPT and saved to their knowledge base, the poster can begin using it to create content. 

 

Plug-In Method to Configure GPTs:

  1. Open up ChatGPT, in the lefthand menu click ‘Explore GPTs’ and then ‘Create.’ 
  2. A blank GPT will appear. Use the following template and fill out all necessary information. Be sure to include a profile picture, name using the proper format, and description.

Demographic to target: 50-60-year-olds, majority retirees, chill, empty nesters, and couples. Older demographic, relaxed, sophisticated who enjoy shopping centers, the University Park neighborhood, and the Highland Park neighborhood.

Tone to emulate: Relaxed but sophisticated and professional, very welcoming
